Commercial refrigerators run 24 hours a day, 365 days a year. That continuous workload means components wear out — and when they do, the warning signs often appear days or weeks before a full breakdown.
Catching these signals early is the difference between a $200 service call and a $2,000 compressor replacement. Here are the five signs that demand immediate attention.
1. Temperature Fluctuations or Inability to Hold Set Point
A commercial refrigerator should maintain a consistent temperature within 2–3°F of its set point. If staff are reporting that product feels warm, or if your temperature log shows swings of 5°F or more, something is wrong.
What it usually means:
- Dirty condenser coils reducing heat rejection capacity
- Low refrigerant charge from a slow leak
- Failing evaporator fan motor not circulating cold air
- Door gaskets worn out, allowing warm air infiltration
- Defrost system malfunction causing ice buildup on the evaporator
Don't wait on this one. Food safety regulations require refrigerators to hold 41°F or below. A unit that can't maintain temperature puts your license — and your customers — at risk.
2. Excessive Frost or Ice Buildup Inside the Cabinet
A thin layer of frost on the evaporator coil is normal. A thick blanket of ice covering the coil, the back wall, or product shelves is not.
Heavy ice buildup is almost always a defrost system failure. The three components to check:
Defrost heater: Use a multimeter to test for continuity. An open heater won't melt frost during the defrost cycle.
Defrost thermostat (limit switch): This safety device cuts power to the heater when the coil reaches a safe temperature. A failed-closed thermostat prevents the heater from energizing at all.
Defrost timer or control board: On older units, a mechanical timer controls defrost frequency. On newer units, an adaptive defrost board monitors run time and door openings. Either can fail and skip defrost cycles entirely.
Left unaddressed, ice buildup eventually blocks airflow completely — and the unit stops cooling.
3. Unusual Noises: Clicking, Banging, or Constant Running
Every commercial refrigerator has a normal sound signature. When that changes, pay attention.
Clicking at startup: The compressor is attempting to start but failing. This is often a bad start relay or start capacitor — inexpensive parts, but if ignored, the compressor motor windings can burn out.
Banging or rattling: Loose condenser fan blades, a worn evaporator fan motor bearing, or a compressor mounting bracket that's vibrated loose. These cause secondary damage if not corrected.
Compressor running constantly: The unit is working overtime to maintain temperature. This points to a refrigerant leak, dirty condenser, or failing door gaskets. A compressor that never cycles off will fail prematurely from heat and wear.
4. Water Pooling Inside or Under the Unit
Standing water is never normal. It signals a drainage problem that, if ignored, leads to mold growth, floor damage, and slip hazards.
Inside the cabinet: The condensate drain pan or drain line is clogged. On reach-in units, the drain is typically at the back of the evaporator compartment. Clear it with a drain brush and flush with warm water. On walk-ins, check the drain line all the way to the floor drain.
Under the unit: The condensate evaporator pan (located near the compressor) is overflowing. This happens when the drain line is clogged upstream, or when the evaporator pan heater has failed and ice is melting faster than it can evaporate.
Door frame condensation: Warm, humid air is infiltrating the cabinet. Check door gaskets for tears, compression loss, or gaps. A dollar bill test — close the door on a bill and try to pull it out — should show firm resistance all the way around.
5. Compressor Running Hot or Tripping on Thermal Overload
The compressor is the most expensive component in any refrigeration system. Protecting it is the primary goal of preventive maintenance.
A compressor that's hot to the touch (above 220°F on the discharge line) or that trips its thermal overload protector is under serious stress. Common causes:
- Dirty condenser coils: The single most preventable cause of compressor failure. Clean coils every 90 days in a commercial kitchen environment.
- Low refrigerant: Forces the compressor to work harder to move heat. Always find and fix the leak before recharging.
- High ambient temperature: Compressors in poorly ventilated equipment rooms or near heat sources run hotter. Ensure at least 6 inches of clearance on all sides and adequate room ventilation.
- Refrigerant overcharge: Too much refrigerant causes liquid slugging, which damages compressor valves. Always charge by weight or superheat/subcooling method.
